Cancellation and Refund Policy
General Cancellation Policy
- All cancellations must be submitted in writing via email : accommodation@swansea.ac.uk
The cancellation request must include your full name and check-in date.
Cancellation Charges & Refunds
Timeframe of Cancellation:
- More than 7 days before check-in: Full refund minus a £15 admin fee
- 3-7 days before check-in: 50% refund of the total booking cost
- Less than 72 hours before check-in: No refund
- No-show without prior notice: No refund, full charge applies
Early Departure & Amendments
- Guests who depart earlier than the booked check-out date will not be eligible for a refund for unused nights.
- Changes to booking dates are subject to availability and may incur additional charges.
Force Majeure & Exceptional Circumstances
- If cancellation is due to medical emergencies, travel restrictions, or unforeseen circumstances, Swansea University may consider a refund upon submission of supporting evidence (e.g., medical certificate, travel disruption notice).
- The University reserves the right to waive or amend fees on a case-by-case basis.
Refund Processing
- Approved refunds will be processed within 14 working days via the original payment method.
Swansea University is not responsible for delays caused by external banking processes.
